The Dispatcher is responsible for the strategic planning and assigning of trucks with deliveries for customers and their respective locations in the most efficient manner. In this position, you will be responsible for strategizing, planning and maximize efficiencies. In addition to the scheduling of drivers and equipment, a crucial role as part of AFD dispatching is inventory management and volume forecasting for AFD customers and cardlock locations. The Dispatcher will provide the best support to our drivers ensure customer service excellence.
Promote proactive customer support by strategizing and forecasting fuel needs and equipment utilization.
Responsible for creation and completion of all dispatch related paperwork within timeline expectations. Accuracy is key.
Stay aware of any traffic congestion, accidents, weather conditions, construction zones, and any other information that may affect the drivers’ route, timeline, or safety. Effectively communicate all pertinent information to the customers and the drivers.
Manage and be a part of the on-call rotation to ensure 24hr coverage and support.
Record and maintain files and records of customer service requests, work or services performed, charges, expenses, inventory, and other dispatch information
Champion the Octane system and maximize the software utilization and planning tools.
Complete accurate inventory and submit for input. Assist in resolving inventory discrepancies. Daily truck report.
Manage current load chart for each unit by compartment for full loads of diesel and gas with maximum fill for each compartment.
Ensure all paperwork returned from the field is reviewed, completed and handed in to the appropriate departments in a timely manner.
Communicate any issues or problems to correct parties to initiate and ensure corrective action is taken.
Complete disciplinary action forms when required for all drivers. Verbal and written warnings must be documented and forwarded to Human Resources.
Review all FLHA prior to handing them in for information accuracy.
Ensure all drivers have current refinery badges. All drivers to have ESSO, SHELL, PETRO-CANADA, NWR.
Update dispatch board to include current equipment #’s, drivers, badges and job assigned to each day of the week. Days off must also be marked.
Schedule and approve vacation for all drivers. Drivers must be available during peak season.
Pre-load or hold loads to be cost effective during price changes if possible, working closely with AFD supply group.
Ensure all AFD equipment is being used efficiently prior to requesting the use of a lease operator. Lease operator usage sheets must be signed by management before they can be contacted.
Ensure drivers do not exceed hours of service. Book best units for task and/or plan for on road reset.
Work with Manager, drivers and Mechanic’s to schedule maintenance and repairs on AFD equipment. Both AFD shops and third party vendors
Use monitor web pages to ensure all customer needs are met and report all defective monitors so repairs can be addressed.
Mentor and coach drivers to ensure proper procedures and practices are followed by being familiar with AFD Safety Manual.
Host driver safety meetings on the first Tuesday of each month.
Enforce company policies regarding paperwork, CPPI, TDG, OH&S and CVSA.
Complete all tasks and interactions in a respectful and professional manner.
All other duties as required.

3-5 years in a dispatch related position
Highschool Diploma or GED required
