JOB SUMMARY

The Operations Assistant is responsible for managing and programing all administration of the Whitehorse branch. A key function is responding quickly and accurately to customer set up within our systems, along with coordinating pertinent information. The Operations Assistant will be the first point of contact for our Customers, providing them with professional and courteous service in regard to cardlock access, inquires/complaints, and other activities involved in managing the relationship with our customers. Excellent customer service skills are a must. This individual will be highly organized and able to work with a variety of departments and branches in order to fulfil the job requirements.

  • As a front-line worker, present a positive and professional image of the organization to all visitors, suppliers, inquiries, and other interactions.
  • Assist Customers with credit applications and fuel cards
  • Filing records of invoices and support documents.
  • Administer and manage inbound/outbound mail including courier services.
  • Perform all general office duties.
  • Answer telephone inquiries regarding routing and procedures.
  • Sell various lube and grease products, including completion of sales forms and invoicing.
  • Compare invoices against purchase orders and shipping and receiving documents to verify receipt of items ordered.
  • Ensure the strict confidentiality and privacy of financial records as they relate to the organization and its business partners.
  • Provide Customer service at the card lock.
  • Assist with credit and cash account setup.
  • Daily cash out and bank deposits.
  • Respond to telephone, e-mail, and in-person inquiries from clients, business partners, and other parties.
  • Refer all inquiries to the appropriate individuals, divisions, or departments across the organization.
  • General maintenance and upkeep of the office, shop, tanks and grounds.
  • Home Heating Dispatch (Seasonal).
  • Receiving Fuel Order’s and providing dispatch with the orders.
  • Other duties as required.

EXPEREINCE

  • 1-3 years in an administrative capacity

EDUCATION

High School diploma/GED required

Post-Secondary education considered an asset

WORK ENVIRONMENT & PHYSICAL DEMANDS
While performing the duties of this job, the employee regularly works in an office/field setting. There may be a need to attend to situations on work sites.

While performing the duties of this job, the employee is regularly required to use hands and fingers to handle, feel, or operate objects, tools or controls, and reach with hands and arms. Exposure to noise, dust, odors, fumes and oils may occur. The employee is frequently required to stand, talk and listen.

POSITION TYPE/EXPECTED HOURS OF WORK
This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m. Some overtime and after hours’ work may be required.
