AFD Petroleum is currently looking for an Office Administrator for our Whitehorse Branch. The Office Administrator is responsible for a wide variety of duties which include providing exceptional customer service, administrative duties and more complex functions, such as emailing, faxing of price quotes, scheduling of couriers and preparing documentation, along with reports as required. Other responsibilities will include assisting the management team.
Respond to telephone, e-mail, and in-person inquiries from clients, business partners, and other parties.
Refer all inquiries to the appropriate individuals, divisions, or departments across the organization.
Take and record telephone, e-mail, or written message for staff members.
Type forms, letters, reports, and memos as necessary.
Keep internal telephone lists up to date, along with “On Hold” messaging system.
Receive and distribute all forms of paper correspondence.
Organize, maintain, and coordinate office records and files in their proper locations.
As a front-line worker, present a positive and professional image of the organization to all visitors, suppliers, inquiries, and other interactions
Administer and manage inbound/outbound mail, including priority post, packages, courier services, and other correspondence.

Provide and distribute daily product pricing to customers.
Communicate with internal/external customers as necessary to complete job duties.
Ensure the strict confidentiality and privacy of financial records as they relate to the organization and its business partners.
Filing records of invoices and support documents.
Perform all general office duties.
Perform other duties as required.
GED or High School Graduate with experience in General Office Reception and Administration, or an acceptable combination of education and progressively responsible experience
2-3 years of direct work experience in a reception/administrative capacity
Strong knowledge of general office procedures involving data entry, reports, etc.
Hands-on experience with computer applications, including word, spreadsheets, e-mail clients, and presentation software
Excellent writing skills, including proper spelling, grammar, and punctuation
Superior time management skills, multitasking skills, and the ability to prioritize tasks with minimal supervision
High level of sound and independent judgment, reasoning, and discretion
Professional, responsive, and positive work attitude is essential
Resourcefulness and flexibility
Previous experience in handling confidential or sensitive information; knowledge of applicable data privacy laws
General mathematical skills
Knowledge of supplies, equipment, and/or services ordering, as well as inventory control of these items
Able to maintain filing systems and basic databases
Meticulous records maintenance skills
Superior telephone manners and strong interpersonal skills
Strong customer service orientation
Strong knowledge of Microsoft Office products, including Excel, Word, and Outlook.
